Preparedness

3.0 Responsibilities:
3.1 It shall be the responsibility of the Emergency Management Safety Coordinator to assure that  copies and associated updates are made to the SOP  and any changes or modifications are provided to all members of the ERT.  He/she shall maintain the master copy of the SOP manual up-to-date at all times.

3.2 All ERT members are responsible for:
     3.2.1 Familiarizing themselves with and maintaining a constant awareness of the documents contained in the SOP.
     3.2.2 Making suggestions for new and/or revised procedures or guidelines that they feel are  necessary.

3.3 The ERT Advisory Board is responsible for review of all documents within the SOP, and shall be responsible for the approval of any proposed additions to or removals from the SOP.  The Board will assure that all additions to or removals from the SOP are not in conflict with any law, regulation, recommended practice or guideline issued by authorities having jurisdiction on ERT operations.

3.4 All ERT members shall be responsible for maintaining an up-to-date SOP Manual. 

3.5 Emergency Management Safety Coordinator is responsible for receiving and reviewing all suggestions for new or revised procedures or guidelines submitted and when necessary, request an ERT Advisory Board Meeting for review and approval of such documentation.

4.0 Procedure:

4.1 Any ERT member or support member seeing the need for the establishment or revision to, or modification of a current procedure or guideline, may forward the suggested procedure and/or guideline to the Emergency Management Safety Coordinator.

4.2 The Emergency Management Safety Coordinator will start the process for review and adoption of received documents, and shall keep the originator informed of the progress.

4.3 The ERT Advisory Board shall review the originator's draft document for content and need. If necessary, alterations to the draft document may be made by the Board and returned to the originator with comments for revision. The document must be approved by majority vote or rejected.  A written explanation will be sent to the originator.

4.4 Upon approval by the ERT Advisory Board, documents will be forwarded to the Safety Committee for review and approval.

4.5 Upon approval, training requirements (if necessary) will be identified and the document will be assigned an effective date.

4.6 After final editing, the ERT Advisory Board will submit the approved document to the Emergency Management Safety Coordinator.  He/she shall cause the master SOP to be updated and the necessary copies to be distributed to all required individuals.

5.0 General

5.1 The SOP shall be reviewed as necessary, but no less than every three- (3) years by the ERT Advisory Board.  All procedures and guidelines will be reviewed and any modifications will be made at this time.  All changes shall be distributed as specified in 4.6.
